Smart Guide App - Data Collection

When you use the Smart Guide App, we collect:

Account Information

Email address (for authentication and notifications)
Account preferences (notification settings, theme)

Content You Provide

Video files uploaded for processing
Screenshots extracted from your videos
AI-generated transcriptions and step descriptions
Annotations and edits made to screenshots

Smart Guide App - Third-Party Data Sharing

Canva (Optional Integration)

What we send to Canva: Screenshot images you select for export, document titles, and step text.
What we store: OAuth access token, refresh token, and expiry. Stored in an encrypted database.
What we do NOT store: Your Canva profile, designs, or any data from your Canva account.
How to revoke: Click "Disconnect Canva" in the app. Tokens are deleted immediately.
Canva Privacy Policy

Google Firebase

Purpose: User authentication and cloud storage for videos/screenshots.
Data shared: Email address, uploaded files, extracted screenshots.

OpenAI (Whisper API)

Purpose: Audio transcription from uploaded videos.
Data shared: Audio from video files. Not retained beyond processing.

Anthropic (Claude API)

Purpose: AI action detection and screenshot analysis.
Data shared: Transcription text and images. Not retained beyond processing.

Smart Guide App - Data Retention & Deletion

Videos & Screenshots: Retained until you delete the job. Deletion removes all data.
Canva Tokens: Deleted immediately when you disconnect Canva.
Account Data: Retained while active. Email [email protected] for deletion.
Processing Logs: Purged after 30 days.

Smart Guide App - Data Security

All traffic over HTTPS (TLS 1.2+)
Hosted on Railway (AWS-backed) with encryption at rest
OAuth tokens in encrypted database on persistent volume
API keys stored as environment variables, not in code

Audit logs: Retained for 2 years for compliance purposes
Anonymized analytics: Retained indefinitely (no personal data)

Third-Party Services

Resend: Email delivery (US-based, Privacy Shield certified)
Neon: Database hosting (US-based, SOC 2 compliant)
Google Gemini: AI-generated quiz questions. We utilize the paid tier of the Gemini API, which contractually prohibits the use of user data for model training. Your inputs are not used to train public AI models.
Perplexity AI: Industry statistics (queries only, no personal data)
Ideogram: AI-generated images (prompts only, no personal data)

Cookies

We use the following cookies:

Session Cookie: Essential for site functionality (expires on browser close)
Admin Token: Authentication for admin users only (24-hour expiration)
Quiz Progress: Stored in localStorage, not cookies (you can clear anytime)
